Payment and Cancellation
Payment & Cancellation Policy
(Effective for all McXotic Tours bookings)
1. Deposit Requirements
A non-refundable and non-transferable deposit is required to secure your reservation:
Double Occupancy: $350 per person
Single Occupancy: $500 per person
Deposits confirm your place on the trip and are non-refundable under all circumstances once paid.
2. Recurring Payments & Monthly Installments
After your deposit is received, you will be issued a recurring invoice that outlines:
Total cost of your trip
Deposit paid
Monthly installment schedule
Our Flexi Payment Plan allows you to pay in equal monthly installments until the final payment date.
All monthly payments are non-refundable once paid, as funds are committed to suppliers on your behalf.
3. Reservation Confirmation
Your reservation is considered confirmed upon receipt of your first payment (deposit).You have a 24-hour grace period from the time of booking to cancel for a full refund.
After 24 hours, your deposit becomes strictly non-refundable and non-transferable.
4. Cancellations After 24 Hours
If you cancel your trip after the 24-hour grace period:
Your deposit is non-refundable
Your deposit is non-transferable
All payments made remain non-refundable, including installments
No exceptions will be made, as all payments are applied to securing accommodations, tours, and other vendor arrangements.
5. Transfers & Credit Requests (Limited Option)
In limited cases such as:
Loss of employment
Death of an immediate family member
You may request a one-time transfer of payments to a future trip for a $100 transfer fee.
Requests must be submitted at least 60 days before departure and are subject to approval. Only one transfer is allowed per traveler.
6. Force Majeure & Events Beyond Our Control
If a trip is canceled or rescheduled due to events outside of our control (including but not limited to):
Natural disasters
Political instability
Pandemics or global health events
Government restrictions
Acts of God
McXotic Tours- Travel-Explore-Repeat will attempt to reschedule the trip. Because supplier payments are non-refundable, cash refunds cannot be issued.
A travel credit will be provided for the full amount paid, valid for one year from issuance and usable toward any available McXotic Tours group trip.
7. Rescheduled Trips Due to Pandemics
If a trip is rescheduled due to a pandemic and you are unable to attend the new dates:
Refunds are not available
A travel credit may be issued (valid for one year)
This applies regardless of personal circumstances (including work, health, or financial issues)
8. Final Payment Deadlines
Final payments must be received by the specified deadline. If your payment is late:
Your reservation may be canceled
All payments made will be forfeited
No refunds or credits will be given
Please ensure your payment plan is completed by the due date.
9. Trip Modifications & Traveler Substitutions
You may request a modification or substitute another traveler in your place for a $100 change fee, if submitted:
At least 60 days before departure, and
Subject to availability
The substitute traveler must meet all travel requirements, including passport validity and any applicable visa requirements.
Additional supplier charges may apply.
10. No-Show Policy
If you fail to show up for your trip without prior written notice, all payments will be forfeited. No refunds or credits will be issued for no-shows.
11. Cancellation Process
All cancellation requests must be submitted through the Trip Cancellation Form. No cancellations will be processed via phone, text, or social media.
The form ensures we have accurate information to properly process your request.
12. Important Notes
Travel insurance is highly recommended to protect your investment.
All travelers are responsible for reading and understanding this policy before booking.
By paying your deposit, you agree to all terms in this Payment & Cancellation Policy.
